Exhibition Notice

1.Exhibits:

Good exhibition samples should be shipped by oneself, preferably not by sea. Some participating companies have encountered a situation where people have already arrived at the exhibition site, but the exhibited products can only arrive after the exhibition ends due to various reasons, resulting in a wasted trip and significant losses.

Before the end of the exhibition, it is best to sell the products as soon as possible and give them away if possible. Many companies insist on bringing their "treasures" back to China, but unexpectedly they exceed the weight limit when leaving German customs (domestic standards and international standards are sometimes inconsistent), and have to pay nearly 10000 yuan in overload fees, which is not cost-effective. If exhibiting companies have textile exhibits, including clothing, they should pay attention to the issue of textile quotas. Companies should pay attention to infringement issues when selecting exhibits. If the exhibiting company engages in infringement, the responsibility shall be borne by themselves, and the organizer shall not be held responsible.

2.Exhibition process:

A. 12 months ago

1. Based on expert opinions on the scale, timing, location, level of expertise, target market, and other aspects of the exhibition, select the annual exhibition plan;

2. Contact the exhibition organizer or agency company to obtain preliminary information;

3. Selecting a venue (generally speaking, it is difficult to obtain the best position for first-time international exhibitions);

4. Understand payment methods, consider exchange rate fluctuations, and determine financial plans.

B. 9 months ago

1. Design exhibition structure;

2. Obtain design approval from the exhibition management company;

3. Select and prepare exhibited products;

4. Liaise with potential and target customers abroad;

5. Produce exhibition brochures.

C. 6 months ago

1. Promote activities through advertisements or emails;

2. Determine travel plans;

3. Advance payment for exhibition venues and other required services;

4. Review the company's exhibition brochure, flyers, press releases, etc., and prepare necessary translations;

5. Arrange translators during the exhibition period;

6. Order advertising promotions from service contractors and exhibition organizers.

D. 3 months ago

1. Continue to track product promotion activities;

2. Finally, confirm the exhibition samples and prepare a large number of samples that represent the quality and characteristics of our company's products. Label them with company labels and give them as gifts to customers who request samples;

3. Make the final decision on the booth structure design;

4. Plan visitor response processing procedures;

5. Train exhibition staff;

6. Schedule appointments during the exhibition period;

7. Arrange receptions on or off the exhibition site;

8. Purchase foreign exchange.

E. Four days ago

1. Put additional photocopies of shipping documents, exhibition manuals, etc. into the briefcase;

2. Take a plane to the destination.

F. Three days ago

1. Arrival, hotel registration;

2. Inspect exhibition halls and venues;

3. Consult with the transportation provider to confirm the arrival of all shipped items;

4. Instruct the transportation contractor to transport the items to the venue;

5. Contact all on-site service contractors to confirm general readiness;

6. Contact the exhibition organization representative and inform them of the communication method;

7. Visit local customers.

G. Two days ago

1. Confirm that all items have been transported successfully;

2. Check the availability and functionality of the ordered equipment and all supplies;

3. Set up a booth;

4. Make the final decision on all activity programs.

H. One day ago

1. Conduct a final inspection of the booth structure, equipment, and supplies;

2. Send promotional items directly to the distribution center;

3. Conduct a final briefing before the exhibition with company exhibiting employees, translators, etc.

I. During the exhibition period

1. Arrive at the venue as early as possible;

2. On the first day of the exhibition, the press release will be delivered to the press conference hall at the venue;

3. Make an appointment for next year's venue as early as possible after on-site observation;;

4. Record in detail the situation and requirements of each visiting customer, without relying on hindsight memory;

5. For uncertain product requirements, do not promise on the spot. Report to headquarters in a timely manner and provide a reasonable response. Once accepted, it must be completed on time and with quality to gain customer confidence in cooperation;

6. Daily briefings with employees;

7. Send potential business opportunities and customer information back to the company every day for immediate processing and response.

J. Exhibition ends

1. Supervise the dismantling of stalls;

2. Handling business opportunities;

3. Send out the thank-you card.
